Creating and editing orders
Take an order by phone or email and enter it yourself, or change the items of an order the customer has not paid yet.
Creating an order
In NXCart → Orders, click New order.
- Customer. Search for a previous customer by email to fill in their details, or type the email address and billing address. Tick Ship to a different address when the parcel goes elsewhere. If the email address belongs to a site account, the order is linked to it.
- Items. Search for a product and click the size, colour or other variant to add it. Change the quantity in the list.
- Shipping and coupon. Choose a shipping method from the ones that apply to the address. Enter a coupon code if the customer has one; it is checked the same way as at checkout.
- Totals. The subtotal, discount, shipping, tax and total are worked out on the server as you go, exactly as checkout would.
- Payment. Choose how the customer pays:
- Bank transfer or cash on delivery: tick The customer has already paid to record the payment in full, or leave it and choose whether to email the order confirmation (for bank transfer this includes your bank details and the payment request PDF).
- Payment link (Stripe) or Payment link (PayPal): the customer gets an email with a button to pay online. The order is marked paid when they do, like a checkout order.
Only payment methods you have turned on (and, for Stripe and PayPal, set up) in Settings → Payments are offered.
Click Create order. It is saved as Pending and the stock is reserved, as for a checkout order. If the payment link cannot be created, the order is still saved and you see why; you can check the gateway settings and try again.
Changing a price
Click Change price under a line, enter the new unit price and a reason. The order cannot be created without the reason. Every changed price is written to the order history with the catalog price, the new price, the reason and who changed it.
Editing the items of an unpaid order
An order that is still Pending has Edit items in its details. Change quantities, add or remove products, or change a price, then click Save. Totals, tax, shipping and stock are worked out again. Items already on the order keep the price they were ordered at, unless you change it.
Once an order is paid, its items can no longer be changed.
Permissions
Creating orders needs the Create permission on NXCart; editing items, changing prices and sending payment links need Edit.
